From Technical Requirements to the Right Source of Supply
Industrial procurement requires technical understanding, suitable sources and clearly defined order terms.
PETROVEX handles equipment and spare parts enquiries for oil, gas, refining and petrochemical applications,
taking account of technical specifications, commercial terms and project delivery requirements.
Whether the requirement is a single spare part or a package of items, we define our scope to suit each
order.
Technical Compliance and Commercial Terms Considered Together
An equipment name and model number are only part of the information needed to place an order. Technical
specifications, the manufacturer, required documentation, delivery dates and acceptance criteria must also
be considered when reviewing offers.
PETROVEX assesses options from domestic and international manufacturers and suppliers against these
requirements. Where an alternative is proposed, we present the technical differences and supply terms for
the client’s review and approval.
Range of Equipment and Parts
Equipment and Spare Parts We Can Source
Pumps and Spare Parts
We review pump and spare parts enquiries against the application, fluid properties, flow rate, head and
operating conditions. For spare parts, the manufacturer, model and part number provide the starting point
for identification.
Compressors and Associated Parts
We assess supply options for compressors and associated parts based on the gas, capacity, operating
pressure and equipment specifications. Manufacturer documentation and details of the installed equipment
help establish a more precise match.
Bearings and Seals
We review and source items by part reference, dimensions, application and operating conditions. Where a
part number is unavailable, drawings, photographs and equipment information are reviewed to support
initial identification.
Gearboxes and Spare Parts
We review enquiries using the manufacturer, model, gear ratio, power, speed and mounting arrangement. For
replacement equipment, dimensions and connections affecting compatibility must also be established.
Industrial Valves
We assess supply options against valve type, size, pressure class, material, end connections and fluid
conditions. Functional requirements, actuation and required documentation are defined for each order.
Pipes and Flanges
We review and source items in accordance with the item list, dimensions, material, applicable standards
and order specifications. Quantities, units of measure and requested documentation form the basis for
obtaining and comparing offers.
Other Industrial Spare Parts
We also review enquiries for other parts using part numbers, drawings, catalogues, nameplate photographs or
equipment information. Supply feasibility is confirmed after the specifications have been identified and
sources assessed.
Depending on the order, our review of supply options considers:
Compliance of the offered specifications with the enquiry
Manufacturer and supply source details
Item condition and stated terms of supply
Available technical documentation and supporting records
Stock availability or quoted manufacturing and delivery lead times
Price, offer validity and payment terms
Delivery location and terms
Inspection, acceptance and warranty requirements, where agreed
Material differences and unresolved questions are raised before the order is finalised, so both parties
have a clear understanding of the basis of purchase.
The Supply Process
From Initial Enquiry to Delivery Follow Up
01
Receive the Enquiry and Documentation
We receive the item list, technical specifications, quantities and required delivery dates.
02
Clarify Requirements and Assess Sources
We identify gaps or ambiguities in the enquiry and assess suitable supply options.
03
Obtain and Evaluate Offers
We review technical and commercial offers and raise any points requiring clarification or approval with
the client.
04
Finalise the Order Terms
We agree the item specifications, price, payment terms, documentation, responsibilities and delivery
schedule.
05
Follow Up on the Order and Delivery
We monitor order status and coordinate documentation and delivery activities within the agreed scope.
Define Delivery Requirements at the Enquiry Stage
Requirements for technical documentation, material certificates, test reports, inspection or manufacturer
records should be stated at the enquiry stage, so their availability can be assessed alongside the supply
terms.
Packaging, item marking, delivery location and accompanying documentation are defined for each order.
Acceptance is based on the specifications and terms approved by both parties before purchase.
Support for Orders Requiring Further Review
Engineering Services
Where equipment specifications have not yet been finalised, or an alternative requires technical
evaluation, our Engineering Services can establish the basis for that review.
For orders involving multiple items, or projects requiring ongoing coordination across manufacturers,
purchasing schedules and delivery stages, the scope can be defined through our Procurement Project
Management service.
To begin the review, send the equipment or part description, quantity, technical specifications and required
delivery date. Where available, include the manufacturer, model, part number, datasheet or a photograph of the
equipment nameplate to support identification.
For enquiries covering multiple items, send the item list with the relevant documents and specify any
particular inspection, documentation or delivery requirements.
